Volunteer Info

All Volunteers

  • Be friendly and welcoming to all attendees.
  • Have an internet-capable device (laptop, tablet, smart phone, etc.) so you can access Slack.
  • While you’re volunteering:
    • Be online in Slack, so we can notify you of any changes or updates.
    • Wear your volunteer shirt whenever you are volunteering, so organizers and attendees can recognize you.
    • Notify organizers (via Slack) of any problems, emergencies, suspicious activity, harassment, or other unacceptable behavior.
  • Be aware of the nearest exit if there’s an emergency that requires evacuation, and help
  • Most importantly, HAVE FUN!

Registration/Swag

  • Sort name badges to tables by last name, or special registration (speakers/sponsors/volunteers).
  • Keep attendee swag gifts stocked on the swag table, and make sure attendees only take one of each item.
  • Put out directional other signage throughout the venue.
  • Check in attendees using the Attendee Check-in UI, and hand out lanyards/badges.
    • The Check-in UI link will be provided to you on the day you volunteer.
    • If you can’t find an attendee on the list, or if they haven’t registered, send them to the Info table.

Room Manager

  • Make sure all room volunteers are present, and notify the room staff lead in Slack if they aren’t.
  • Make sure speakers are present 15 minutes before their talk, and notify the Speaker Wrangler lead in Slack if they aren’t.
  • Track session time, and notify speakers with signs (15, 10, 5 minutes) as their time comes to a close.
    • You may want to ask the speaker if they’d also like to be notified a bit earlier, so they know when they need to start Q&A by.
  • Help speakers connect their laptops to the projector, and put on the lav mic for the camera.
  • Notify us in Slack if there are any tech problems.
    • The venue will provide tech staff for any problems with the projectors and in-room audio, but cameras and lav mic problems will be handled by WordCamp staff.

Happiness Bar

  • Be available to answer WordPress questions from attendees.
  • You’re here to help! If someone asks for your card, that’s okay, but please don’t sell your own products or services.
  • It’s okay to recommend paid products/services, but please make sure they are 100% GPL.
  • If you don’t know the answer, that’s okay. Ask someone else at the table, or ask the attendee to come back later.
  • Don’t let any one attendee monopolize your time, especially if there are others waiting. If they need a lot of help, you can recommend that they hire a consultant.
  • Check in on Slack if you have any questions or concerns about the Happiness Bar or another volunteer regarding these rules.

Info Desk

  • Lost & Found will be located at the Info table.
  • Code of Conduct issues may be reported here. Please get Andrew Wikel, Heather Acton, or Ryan Erwin to take the report.
  • This is the one solid help spot where attendees can always go with questions relative to many things.
  • Special Registration (Speakers, Sponsors, Volunteers) will happen here.
